Program Affairs Coordinator

Coordination responsibilities for the Academic Operations and Planning department professional degree programs.  This role is key to the success and efficiency of the department that enables the entire team to better meet and exceed client expectations.

Primary duties & responsibilities

  • Lead role in planning and logistics for EMBA and GMBA programs abroad
  • Lead role in coordination and planning for Orientation and  Graduation weeks
  • Maintains and updates students physical and electronic records, interface with the Registrar and Financial Aid staff on student grades and scholarship eligibility
  • Initiate outreach and communication with students to provide ‘touch’ to distance learners
  • Manage day to day telephonic and electronic communications from students, addressing/resolving questions/problems as able and routing communications as appropriate to Program Managers and Directors
  • Monitors and orders office supplies; responsible for general office organization.
  • Maintain inventory of supplies related to student programs
  • Communicates and negotiates with various vendors to obtain goods and services
  • General logistical support and project coordination for programs via Program Directors and Managers 
  • Distributes and compiles data from program evaluations in a timely manner, ensuring accuracy and that all guidelines are met 
  • Order books from ecampus for both EMBA and GMBA programs
  • Prepares statistical data for internal and external use such as surveys for rankings
  • Responsible for all on-campus events including billing, planning, with budgetary responsibility, and execution of the events
  • Periodically provide logistical support for weekend and evening information sessions
  • Monitor, prepare and send requested program information requests
  • Responsible for standardized prospect and applicant communications

Other duties

  • Trained to assist in ordering of course materials
  • Supports students and faculty through classroom coordination as needed
  • Creates forms, flyers, and informational documents
  • Occasional evenings and weekends required to support programs
  • Additional duties may be assigned at the discretion of the Director to meet business objectives

Experience/Education

  • Four year degree or equivalent work experience required 
  • Three or more years administrative experience working in a professional environment
  • Excellent organizational skills with attention to detail
  • Self-starter and team player
  • Event planning experience a plus
  • Must have working knowledge of MS Office Suite
  • Familiarity with web technologies a plus

    Experience/Education

    • Excellent oral and written communication skills, and ability to communicate at all levels in a thoughtful, professional manner, both internally and externally
    • Respect and appreciation of foreign cultures, with the ability to effectively interface with individuals from different cultures
    • Foreign language skills a plus

      Contacts

      The Program Affairs Coordinator (Coordinator) is in contact with all EMBA and GMBA team members regarding special projects or assigned duties.  The Coordinator should maintain a working relationship with staff and on-campus vendors.  Additionally the Coordinator maintains a professional level of contact with outside vendors to negotiate for goods/services, and occasionally for special events off campus.
